This policy applies to information you provide when you interact with us through our website (this site), our phone line, our WhatsApp messaging, or in person at our Tolichowki clinic in Hyderabad. By using our website or our services you agree to the practices described here.

Information we collect

• Identification & contact details — your name, age, phone number, and email address when you book an appointment or send us a message.
• Reason for visit — the symptom, concern, or service category you choose on the appointment form, and any notes you add.
• Clinical information — medical history, examination findings, investigations, and treatment notes recorded during your consultation. These records are maintained by the treating doctor.
• Communication records — calls, WhatsApp messages, and emails relating to your appointments or care.
• Limited technical data — your browser type, device type, and IP address may be logged by the hosting provider for security and basic analytics. We do not currently use third-party advertising cookies.

How we use information

We use your information for the following purposes:

• To schedule appointments and send confirmations or reminders.
• To provide clinical care, including continuity across follow-up visits.
• To respond to enquiries you send by phone, WhatsApp, or our contact form.
• To maintain medical records as required by Indian healthcare regulations and professional standards.

Third-party services

Our website embeds Google Maps so you can see our location, and links out to WhatsApp so you can message us directly. When you use these features, the relevant third-party (Google, WhatsApp/Meta) will collect data according to its own privacy policy. We recommend reviewing those policies.

Data security

We take reasonable steps to protect your information from loss, misuse, and unauthorised access. Paper records are stored in secured locations within the clinic. Digital communications are handled on encrypted channels where available. Access to clinical records is restricted to staff who need it to provide care.

No method of transmission over the internet is 100% secure. While we strive to use commercially reasonable means to protect your data, we cannot guarantee absolute security.

Data retention

Clinical records are retained for the period required by Indian medical record-keeping standards (generally a minimum of three years from the last consultation, longer for surgical and minor patients). Communication records (form submissions, WhatsApp threads) are retained for as long as needed for the original purpose and routine business operations. You may request earlier deletion subject to legal and regulatory limits.
